The legal assistant performs confidential administrative duties in support of the firm’s legal staff and is responsible for facilitating the efficient operation of the law firm by performing a variety of clerical, administrative, and personal assistant tasks, as described further below.

Duties and Responsibilities: The essential functions (i.e., fundamental job duties of the position) are as follows:

  • Conducts research and prepares documents.
  • Operational, fiscal, and business analysis techniques.
  • Demonstrate competence in independently applying judgment and nonstandard applications and systems, solving a wide range of problems, and developing practicable and thorough solutions.
  • Communicating with the firm’s staff and clients by phone, email, text, and in-person.
  • Proofreads, formats, and audits a wide variety of documents using various software platforms.
  • Investigative thinker with strong research and analytical skills.
  • Prepares exhibits and assists with report writing.
  • Must have excellent general clerical and administrative duties as requested, which may include scheduling meetings, answering the firm’s phone line, recordkeeping, event set- up, depositing checks, mailing items, checking the firm’s mail, maintaining office supplies, and coordinating equipment maintenance, handling packages and correspondence, and assigned running errands.
  • Responding professionally to client emails and phone calls.
  • Assist with document management within the firm’s cloud-based storage systems.
  • Assisting with calendaring of events and scheduling (non-litigation).
  • Performs other related duties as assigned.

Education & Experience

  • Associates degree or higher preferred.
  • At least 3 years of work experience in a professional setting, such as a law office or management-level in another field preferred.
  • At least 5 years of experience as an administrative assistant; supporting high level executives and/or management.
  • Must have ample experience in Microsoft Outlook, scheduling, and calendaring for both internal and external meetings.
  • Proficiency in creating and formatting grammatically correct professional letters and emails.
    Required Skills & Abilities
  • Must have excellent written and verbal English language communication skills. Excellent written and verbal communication skills in languages other than English are strongly preferred.
  • Must have a can-do attitude, be flexible and be comfortable working in a fast-paced, start-up business culture.
  • Must have excellent customer service skills.
  • Must have excellent organizational skills and ability to effectively prioritize to meet deadlines.
  • Must have courteous and professional demeanor.
  • Must be experienced with remote video conferencing applications such as Zoom.
  • Bilingual preferred, but not required.
  • Must be experienced with Adobe Acrobat Pro and Microsoft Office applications, including Word, Excel, Outlook, and Power Point (cloud-based platforms such as Office 365 strongly preferred).
  • Must be skilled at typing (at least 50 wpm with high rate of accuracy).
  • Must be comfortable using text communication and social media (including Facebook and LinkedIn).
  • Must have a California drivers’ license.
  • Must be emotionally mature and able to take personal responsibility for projects with minimal supervision.

Physical & Work Environment Requirements

  • Work environment is remote, home-based location. Must have quiet workspace in home from which to work from cell phone and laptop computer. Tools will be provided by the Company.
  • Prolonged periods of working on a computer.
  • Must be able to communicate with attorneys and clients via telephone, text and email.
  • Occasionally required to position self to reach items high or low on shelves, or to carry items up to approximately 25 lbs.
  • Must be able to drive to or otherwise travel in the Fresno area and throughout the Central Valley region of California area to various meeting sites. Occasional travel outside the Central Valley area required.
